What is IVEC?
The International Virtual Exchange Consortium (IVEC) is a global, inclusive community of virtual exchange practitioners, researchers, and professionals. The IVEC annual conference is the largest and most prominent event on virtual exchange.

Who should attend IVEC 2026?
IVEC welcomes educators, researchers, administrators, staff, students, and organizations interested in virtual exchange.
When will IVEC 2026 take place?
IVEC 2026 will take place October 26–29, 2026.
Will IVEC 2026 be online, hybrid, or in person?
IVEC 2026 will be fully online.
Will the conference include both live and asynchronous activities?
Yes. IVEC 2026 includes both live sessions and asynchronous content.
What is the conference platform?
The conference is hosted on Whova. The conference agenda, speaker list, links to live sessions, and recorded Flash presentations are available to those who register through the Whova app or a web browser. Live sessions are held in Zoom rooms accessible only to registrants via the Whova app/site.
Is registration open? If so, how do I register?

How much is registration?
Ticket prices vary by attendee location. Please check the official registration page for the current fee.
What is the early-bird registration deadline?
The early-bird registration deadline passed in August.
Are scholarships or fee support available?
IVEC offered a limited number of scholarships to help cover registration fees. The scholarship application deadline has passed.
Have scholarship applicants been notified of the outcome of their application?
Yes, scholarship applicants have been notified whether they received a scholarship.
Who receives scholarship preference?
Preference is given to first-time participants from developing countries or underrepresented institutions, as well as graduate students and early-career VE practitioners/researchers.
Does each person on a team need to apply for a scholarship separately?
Yes. Each person requesting scholarship support must submit their own application.
Do speakers/presenters have to pay the registration fee?
Yes. Presenters must register, either by purchasing a ticket or receiving a scholarship.
Is there an automatic waiver for presenters or moderators?
There are no automatic presenter waivers. Presenters must register or receive a scholarship.
Can non-presenting contributors be recognized, including those who have not registered for the conference?
Yes. Non-presenting contributors may be recognized on slides and can be included in the agenda/program. Contact the IVEC Planning Committee at support@iveconference.org to request that a contributor be added to your session description as a co-author.
Can students present?
Yes. Students who have participated in virtual exchange or who are part of a research project on virtual exchange are welcome.
What session formats are available at the 2026 IVEC Conference?
The 2026 IVEC Conference includes Workshops, Facilitated Discussions, Flash Presentations, invited Roundtables, and Networking/Special Interest Group sessions.
Can one person present in multiple accepted sessions?
A person may present in up to three accepted sessions across Workshops, Facilitated Discussions, and Flash presentations. Invited Roundtables and Networking sessions do not count toward that limit.
What is a Flash presentation?
A Flash presentation is a short, asynchronous presentation shared with attendees through the Whova conference app. It can be a slideshow or a recording with the presenter’s audio and/or video.
Are there instructions or guidelines for creating and submitting my Flash presentation?

How long should a Flash presentation be?
Please keep Flash presentations to 10 minutes or less.
How many slides should a Flash presentation include?
Please limit the Flash presentation slideshow to 10 slides, excluding cover, references, and contact information slides.
Can more than one person speak in a Flash presentation?
Yes. Multiple presenters may contribute or speak, but the recording should still be no longer than 10 minutes.
When is the Flash presentation due?
Submit Flash presentations to IVEC no later than the end of the day on October 14.
Does a Flash presentation include a live session?
The Flash presentation itself is asynchronous. Some Flash presenters may also be invited to a live Roundtable session.
What is a Roundtable?
A Roundtable is a live discussion opportunity for selected Flash presenters grouped by related themes.
Are all Flash presenters invited to Roundtables?
No. Roundtables are an additional opportunity for selected Flash presenters.
How many presentation groups are in a Roundtable?
Roundtables usually include about three or four presentation groups.
How long is a Roundtable?
Roundtables are 60 minutes.
Can all co-presenters participate in the Roundtable?
Yes. All co-presenters may join the roundtable discussion, with one person giving the brief opening overview.
Who will moderate the Roundtable?
A virtual exchange practitioner selected by the Planning Committee will moderate the Roundtable. The Planning Committee will introduce moderators and presenters by email and share brief guidance before the conference.
What is the conference language?
The conference language is English.
Can presenters use languages other than English in sessions?
Yes. IVEC encourages inclusive and innovative use of multiple languages within sessions.
Is there a publication opportunity connected to the 2026 IVEC Conference?
Yes. Papers from IVEC 2026 may be published in a 2027 Journal of Virtual Exchange special issue. IVEC and the Journal of Virtual Exchange will share paper submission instructions shortly after the conference.
What license applies to IVEC submissions and presentations?
IVEC submissions and presentations use the CC BY-NC 4.0 license.
